The Executive Assistant will report to a key executive or member of our C-Suite.

 

The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.  Confidentiality and discretion is critical in this role.

 


 

Essential Duties and Responsibilities:

 
     
  • Completes a broad variety of administrative tasks for the Executive Member including: Managing an extremely active calendar of appointments; Completing expense reports; Composing and preparing correspondence that is confidential; Arranging complex and detailed travel plans, itineraries, and agendas.
  •  
  • Works closely and effectively with the Executive to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
  •  
  • Create meeting(s) timelines, prepare and distribute meeting notifications, correspondence, agenda and materials, as well as subsequent action items, updates or changes. 
  •  
  • Excellent customer service skills: meeting and exceeding expectations; intuitively understand stakeholders; anticipate needs; provide value.
  •  
  • Focused, positive attitude, flexible, and proactive.
  •  
  • Excellent problem solving skills; ability to multi-task and work in fast-paced, demanding environment.
  •  
  • Solution focused -  take ownership of requests; tailor solution to the situation; be timely in follow-up; resourceful in information gathering/research.

  • Superior organizational and project management skills:  prioritization, time management, attention to detail, follows through, staying informed with organizational initiatives and priorities.

  • Bachelors degree required,
  •  
  • Minimum of five (5) years of experience as an Executive Assistant for Senior Executives is required. 
  •  
  • Strong background in dealing with C-Suite and executives 
  •  
  • Experience booking international and domestic travel
  •  
  • Ability to successfully manage multiple projects effectively
  •  
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  •  
  • Advanced MS Office skills, especially Outlook, Word, PowerPoint, and Excel are required
  •  
  • Effective writing skills with the ability to proofread and edit others work 
  •  
  • The ability to communicate respectfully and with tact.
  •  
  • Experience managing highly confidential information with discretion and sensitivity.
  •  
  • Proven experience identifying and analyzing problems with the ability to make recommendations for solving these challenges.
  •  
  • Experience responding to shifting demands and changing priorities in a fast-paced environment.
  •  
  • Handling of sensitive and confidential information
